Products · Funeral home management system
It runs the entire funeral - from the death notification to billing and the family.
A comprehensive ERP-class system for managing a large, multi-branch funeral home - proven in daily use at one of the largest funeral homes in Poland - Służew Funeral Home. Operations dashboard · Order card · Body preparation · Cremation · KSeF (National e-Invoicing System) · Payment terminals · Process control and audit · Virtual office · Mobile app · Offline
Benefits
Everything works together - not as isolated features.
The value of the system is not a single feature but the fact that all its mechanisms organise the work and reduce the risk of mistakes.
A single source of truth
No more notebooks, spreadsheets and sticky notes. Every order has a complete, consistent card - and all information is linked in one system.
End-to-end order flow
Data from death registration flows into body preparation, the ceremony, billing and documents - without retyping or "reconciling" between modules.
Ready for complexity
Multiple branches, multiple roles, specialised departments and external partners - with a clear division of responsibilities and fine-grained access control.
Regulatory compliance
KSeF (National e-Invoicing System), fiscalisation on fiscal printers and payment terminals, funeral grant handling and reports - billing that is accurate and compliant with regulations.
Mobile and offline work
A full-featured mobile app for staff and partners plus an offline mode with a local database - field work never stands still.
Family contact
Virtual death notices and obituaries, a remote virtual office and an online survey - a dignified and calm farewell, not just bureaucracy.
Modules
One system, the full service cycle.
Instead of many disconnected tools - a coherent platform covering the entire funeral service workflow.
Order card
A complete funeral order card: details of the deceased and the family, services, products (coffin, urn), schedule, documents and related items - music, flowers, body removal, warehouse, staff schedule.
Body preparation
Coordination of body transport and removal, cold storage, embalming and preservation, thanatocosmetics and autopsies - with contractor calendars and staff assignment.
Cremation
Cremation order handling, furnace schedules (also for your own crematoriums), booking slots in the furnace schedule, certificates and labels - with a dedicated panel for crematorium staff and notifications from the furnaces.
Ceremony planning
Planning the funeral in the chapel and at the cemetery, music arrangements, flower orders, organising the hearse journey and procession, plus a funeral calendar.
Billing and KSeF
Invoices with KSeF (National e-Invoicing System) support, fiscal receipts and card payments via terminal, funeral grants, commissions, document templates and financial reports.
Warehouse and dictionaries
A product warehouse plus dictionaries: cemeteries, chapels, services, contractors and partner companies - a change in a dictionary is instantly visible across the system.
Organisation and permissions
Multi-department structure (headquarters, branches), fine-grained access control (ACL), ready-made roles, SMS two-factor authentication and an audit trail.
Death notices and virtual office
Publishing death notices and obituaries online, automatic Facebook posts and remote meetings in the virtual office - an online survey converted into an order.
Mobile app
A complete API module (REST/JSON) for the working mobile app used by staff and partner companies: orders, services, embalming, thanatocosmetics, flowers, removals, furnaces and notifications.
Reports and analytics
More than 38 ready-made reports (staff sales, coffin and urn stock, issued plaques/ribbons/flowers/thanatocosmetics, cremations, services) with PDF export - no more manually collecting data from spreadsheets.
Operations dashboard
Your working day, visible from the first login.
The dashboard shows what is happening right now across the entire business - there is no need to dig through modules to know what requires action.
A dashboard to start with
After logging in, the operator immediately sees what matters today: the chapel calendar, arrivals for the cold storage, removals and products to be issued - instead of hunting for information across modules.
Ceremony calendar
A calendar of rooms and chapels (Small Hall, Large Hall, chapel) in weekly and monthly views - ceremony dates are planned without resource conflicts.
Cold storage under control
Up-to-date cold storage status: who is currently there, for how many days, the capacity and what is awaiting admission - real-time management of body storage.
Products to be issued
Plaques, prayer cards and ribbons waiting for contractors are visible immediately - tasks reach the right people without chasing sticky notes.
Contractors for today
Embalmings and thanatocosmetics assigned to the current day, with a view of each contractor’s workload, so nobody is overloaded and everyone has their own plan.
Charts and statistics
Charts of orders being created and analysis of death card (WK) views - the manager sees activity and family interest without resorting to external tools.
Order flow
The order teleports - that is how it works in practice.
Registering the report
The office receives the news of the death, opens an order, and the system immediately sets up the schedule and task list.
Body preparation
The order goes to the departments: removal, cold storage, embalming, thanatocosmetics, autopsy. Each department sees its own tasks and deadlines.
Ceremony
Funeral calendar, chapels, cemeteries, music, flowers, procession - everything planned around resource availability.
Billing
Invoices and receipts are issued, funeral grants and commissions are handled, card payment connects from the terminal, and documents go to KSeF.
Contact and remembrance
The family receives a death notice or obituary and, if needed, access to the virtual office. After the ceremony, the system can automatically thank them for choosing your services.
Process control and audit
Every step confirmed - nothing gets lost along the way.
From admission to release, the system makes sure every task is completed and its course is fully documented.
Removal and admission
Body transport and removal (domestic and international), admission to cold storage.
Basic preparation
Body preparation procedures - every step must be confirmed by a staff member.
Embalming
Preservation and embalming according to the assigned contractor schedule.
Thanatocosmetics and identification
Grooming (full/partial) and identification of the deceased - also "live" from the mobile app.
Cremation and release
Cremation, ceremony and release - a stage is closed only after confirmation.
Mandatory stage confirmation
Every stage of the process (removal, embalming, thanatocosmetics, identification, cremation, release) must be confirmed by a specific staff member - regardless of who performed it.
Full audit trail
Every operation, data change and printout is recorded with the date, time, source and ID of the person - full accountability and quality control.
Live identification
Confirmation of the deceased’s identification can be closed from the mobile app - and when a body cannot be identified, the system states it plainly.
Mobile app
The system in the worker’s pocket - not in the office.
This is not a "view-only app". Staff and partner companies do their daily work from the phone - on the floor, in the hearse and at the crematorium. The app runs in production and is updated to the rhythm of the business - not for presentations.
The whole business in one menu
Eight departments on one screen: office and cremations, removals and cold storage, embalmings and thanatocosmetics, flowers, autopsies, identifications and releases. The same account and the same permissions as in the web app - no second list of passwords.
Scan the wristband - and you are in the order
The order card opens in 3 seconds. No typing numbers, no searching through modules - the QR code from a label or wristband leads straight to the order: details, services, schedule and a list of confirmations to close.
Stage closed = photo in the system
Identification, transport to cremation, the funeral - every step is confirmed by a staff member with a photo: a close-up of the face, the wristband, the deceased and the surroundings. The process control and full audit trail the system is built around come down to a single tap of the camera. "I will confirm it later" is not an option.
The office sees a problem before it becomes one
Red alerts show that a removal has not been confirmed and that two hours are left until the identification - before the family asks. The day plan filters down to today, with services to complete and embalmings waiting for a body.
Removals in full flow
From admission to pickup: an address with a navigation button, the contractor’s phone number one tap away, check-in and pickup times, notes for bodies from abroad, label and wristband printing straight from the phone, and a "Report a problem" option when something is stuck.
The floor’s voice reaches the office
From any section, a single form sends a problem report to the right department. On top of that: company announcements (holidays, deadlines, urgent matters), ordered flowers with wreath descriptions and photos, the cremation schedule for a chosen day and the autopsy plan to carry out.
The app works today at Służew Funeral Home - one of the largest funeral homes in Poland runs its daily field work with it.
Integrations and devices
It does not work in isolation - it connects to the world.
The system was built and runs in a real funeral home, so it is wired into state registers, fiscal equipment and floor devices - not designed in a lab.
KSeF
Invoices go to KSeF (National e-Invoicing System), and the system tracks their status and sends notifications on its own - with no manual monitoring.
Payment terminals
Card payments from the terminal handled right in the order - the amount flows into the billing seamlessly, with no retyping or errors.
Fiscal printers
Receipts with VAT rates and fiscal reports with fiscal mode support - in line with tax requirements.
State registers
Company verification by NIP and REGON numbers (GUS BIR) and automatic calculation of the ZUS funeral grant, including its amount in words for printing.
Labels and wristbands
Zebra-class printers: body identification labels, QR wristbands and removal labels - clear identification at every stage.
Print servers
Printing on network devices via Raspberry Pi bridges with port monitoring and failure alerts - every branch prints where it needs to.
Multichannel communication
Push notifications (OneSignal, Firebase), an SMS gateway with our own daemon and SMS two-factor authentication for account security.
Crematorium equipment
Records and notifications about cremation furnace usage, linked to schedules and certificates - complete cremation documentation.
API and mobile app
A ready interface for the staff and partner mobile app plus an offline mode that syncs automatically once back in the network.
And when needed - publishing death notices on Facebook, chat in the virtual office, Sentry error monitoring and external memorial services join the same coherent environment.
Who it is for
Built for medium and large funeral homes.
The system is addressed to funeral homes with multiple branches, businesses offering the full range of services (transport, cold storage, embalming, thanatocosmetics, autopsies, cremation), organisations building an advantage through family contact, and companies required to meet tax and fiscal compliance. It also works well where field work is key - thanks to the mobile app and offline mode. A small business handling individual orders without a complex structure may choose a simpler tool - the system scales to what is actually needed.
